Job Description:

Summary:Full time salaried position with opportunity for growth within the organization. A key part of the team, keeping the office and the firm organized so that the three advisors can meet their sales projections each quarter. The goal is to streamline the sales process so that BHR can process more cases and move cases to closing faster. While this person will not be going on appointments, they will be required to communicate with clients to obtain signatures, process paperwork, trouble shoot, and problem solve as issues may arise.
Reports to: Stephen Javaras, Vice President
Responsibilities:
Client Services:

  • Respond to incoming customer service requests and handle small requests on own, keeping advisor in the loop. For larger requests, collaborate with advisor to complete. Always be aware that these requests might have underlying sales opportunities embedded within them (such as beneficiary change, address change, policy loan, loan repayment).
    Administrative:
    • Help move towards a paperless office environment and maintain an orderly office environment. Send calendar invites, create agendas, schedule meetings and process UPS labels as needed.
      Licensing/Appointments:
      • Maintain active insurance licenses for BHR, Jim, Stephen and Briana in all states we do business. Track licensing renewals and save copies of all active licenses on SharePoint. Also ensure carrier appointments always remain active and current.
        Technology:
        • Windows: OS
        • Salesforce: CRM
        • Citrix Share File: Secure Document Portal
        • E-Money: Client portal for financial planning and insurance (links with Salesforce)
        • Outlook 365: Word, Excel, PowerPoint, Outlook
        • SharePoint: Cloud-based file storage system (for sending and receiving)
          Special Projects:
          Filing:
          • Review all files and ensure everything is scanned. Once all docs are scanned and saved properly, destroy all paper files.
          • Organize SharePoint and eliminate unnecessary folders and subfolders and inactive files.
          • Destroy dead files in server room.
            Salesforce:
            • Finish customizing salesforce to track our three workflows (Sales, Pending Cases, Inforce Business)
              Marketing:
              • Organize our customized branded marketing materials so that they can easily be retrieved.
              • Set up a monthly email marketing campaign for our clients- integrate with salesforce, use mail chimp or other software. Also track client birthdays and other milestones
              • Liase with director of marketing to help update website and LinkedIn
                Client Questionnaire:
                • Update client questionnaire and informal inquiry and HIPAA into fillable PDF, sync with GoodNotes so it can be signed on iPad with client
                  Licensing:
                  • Review paper files and ensure all licenses are stored on SharePoint. Once all licenses are saved on SharePoint in proper folders and sub-folders, destroy paper files
                    E-Money:
                    • Setup logins for each carrier
                    • Connect carrier login to our E-Money account
                    • Setup square account for taking payment for e-money client subscriptions
                    • Load client data from Salesforce into E-Money
                      Salary range between $75,000 - $90,000 + bonus
